Untangling MeetingOne Conferencing
MeetingOne has recently updated their conference calling services. Here's what you need to know to make your conference calls go off without a hitch.
I'm calling in to a meeting...
...and I'm in the United States.
This is easy. The person hosting the meeting will simply give you their dial-in number. It will usually start with 866. For example:
866-123-4567
All you have to do is pick up the phone and dial the number they give you. Easy-breezy, right?
...and I'm NOT in the United States.
From overseas, joining a conference call is a two-step process.
STEP 1
The first thing you need to do as an international caller is call into the MeetingOne network. There are two ways to enter the network:
- Determine if a toll-free number is available to you. Look at the list of cities and numbers by following the link below.
- If a toll-free number is not available in your area, call +1 303-330-0440. This number will allow you to enter the MeetingOne network from anywhere on the globe—however, you will be charged the cost of an overseas call to Devner, Colorado.
STEP 2
Now that you’ve called into the MeetingOne network, you need to enter the conference call meeting room. The person hosting the meeting should have given you the TEN DIGIT number you need to enter the room. This ten-digit number is the same number you would ordinarily dial to call into the meeting room if you were in the United States. If your meeting host did not give you a TEN DIGIT number, contact them and verify that you have the right number to enter the room.
- Dial STAR ( * )
- Dial the TEN-DIGIT conference call meeting room number (e.g. 866-123-4567)
- Dial POUND ( # )
You will connect to the meeting room, and will hear an announcement to that effect.
...and I need to mute my phone.
If your phone does not have a MUTE button, and you’d like to mute yourself:
- Dial STAR ( * )
- Dial POUND ( # )
Okay, now I need to un-mute myself:
- Dial STAR ( * )
- Dial POUND ( # )

I need to host a meeting...
Several Local Matters employees have been issued dedicated conference room phone numbers for their own private use. If you have been issued your own private meeting room number:
- E-mail your private conference-room phone number, along with the link to this GuideSpot guide to your meeting participants
- Pick up the phone and dial your meeting room number.
- Dial STAR ( * )
- Dial your meeting host PIN
- Dial POUND ( # )
...and I need to turn off that obnoxious *DING DONG!* when someone enters or leaves the room.
The “doorbell” becomes a problem in large meetings with lots of attendees. The doorbell goes off every two or three seconds whenever someone enters or leaves the room and can get downright annoying.
- Dial STAR ( * )
- Dial 47
- Dial POUND ( # )
Okay, now I’d like to turn it back on:
- Dial STAR ( * )
- Dial 470
- Dial POUND ( # )
...and I need to make sure that only certain people can enter the room, because the meeting is private.
You can “lock” the meeting room such that only participants who have been e-mailed a pre-determined “secret code” can enter the meeting room:
- When you e-mail the meeting room phone number (and this GuideSpot’s URL) to your meeting participants, make up a four- to six-digit secret code number that you can lock the room with (For this example, I’ll use 4321). Make sure you include it in your meeting invitation e-mail. NOTE: Make sure to tell your participants that they will have to dial STAR ( * ), then the secret code, then POUND ( # ). They will hear that prompt when they call your meeting room as well, but reiteration never hurts.
- Call your meeting room phone number when you’re ready to begin your meeting, and join the as the meeting moderator, just as you normally would.
- Dial STAR ( * )
- Dial 12
- Dial STAR ( * )
- Dial the four- to six-digit secret code number you made up, sent out, and want your participants to use to enter the room (for this example, we’re using 4321). You will hear the prompt “Meeting entry is now coded.”
- Dial POUND ( # )
When your meeting participants call your meeting room telephone number, they will be asked to dial
STAR ( * ), the secret code to enter meeting room, and then
POUND ( # ).
...and I need to mute everybody on the call but me.
Especially problematic during large meetings are participants who don’t mute their phones for one reason or another. You can solve this problem by simply muting everybody until you’re ready to open up the meeting to general discussion:
- Dial STAR ( * )
- Dial 4
- Dial POUND ( # )
Okay, now I need to un-mute all the participants:
- Dial STAR ( * )
- Dial 40
- Dial POUND ( # )
...and I need to bring someone into the meeting.
If you need a participant to participate in the meeting, you can “reach out” and bring them into the meeting:
- Dial STAR ( * )
- Dial the phone number of the person you want in your meeting
- Dial POUND ( # )
